Individual Search

The Individuals page is used to search for individual profile records contained in the Release One database using one or more of the search criteria listed below.  The results of the search will be displayed in a grid on the page. The records in the grid can be selected for Editing and print report.


Search Criteria

  • General
    • Individual Code: Four digit code assigned to the individual. Can search for partial values (i.e. "05 searches for individuals whose code contains "05".
    • First Name: First Name of individual. Can search for partial values (i.e. "Jo" searches for individuals whose name contains "Jo".
    • Last Name: Last Name of individual. Can search for partial values (i.e. "Jo" searches for individuals whose name contains "Jo".
    • Institution Code: Four digit code assigned to the institution. Can search for partial values (i.e. "05 searches for institutions whose code contains "05".
    • Institution Name: Name of institution. Can search for partial values (i.e. "SUNY" searches for institutions whose name contains "SUNY".
    • Job Title: Job title for the individual. Can search for partial values (i.e. "Exec" searches for individuals whose job title contains "Exec".
    • Contact Type: Select one or more individual contact types to search 
    • Status Type: Select one or more individual status types
  • Evaluators
    • ?Evaluator: Select "yes" to search for evaluators
    • Bin: Select an evaluator bin 
    • SubBins: Select an evaluator subbin
    • Include State: Institution state for the evaluator
    • Gender: Select Evaluator's Gender
    • Ethnicity: Select one or more Evaluator's Ethnicity
    • Experience: Dropdown to select Evaluator's experience
    • Exclude State: Excludes any selected states from the search
    • Control Type: Evaluator Institution control type
    • Carnegie Category: Carnegie category for the evaluator institution 
    • Carnegie Sub Category: Carnegie SubCategory for the evaluator institution
    • Language: Language of the evaluator
  • Training
    • Training Events Attented: Select one or more training events attended by the individual
    • Attended: Start and end dates for the training events attented by the individual
  • Expertise
    • Select individual expertise from the grid
    • Boolean Operator to Use: Used to either do an "OR" or "AND" on the selected expertise
  • Experience
    • Select individual experience from the grid
    • Boolean Operator to Use: Used to either do an "OR" or "AND" on the selected expertise
  • Rosters
    • Roster Role: Select one or more roster roles for the individual
    • Roster Type: Select one or more roster type that the individual was part of 
    • Assigned: Start and end dates for the rosters that the individual was part of
    • Exclude evaluators meeting the Roster search criteria: check box to exclude any evaluators that meet the above search criteria


Buttons and Other Objects

  • Add Individual: Navigates to the Individuals Maintenance page allowing the user to add a new individual.
  • Add Individual (Quick): Navigates to the Individual quick add page allowing the user to add a new individual with just the required fields.
  • Search: Searches for individuals using the search criteria that you entered.
  • Clear: Clears the search criteria objects and the search results grid. 
  • Select all: Selects all viewable records in the search results grid. Note: you need to increase the value in the "Total Rows per Page" dropdownlist if you want select records that are on subsequent pages of data. 
  • Select none: Clears all viewable records in the search results grid. Note: you need to increase the value in the "Total Rows per Page" dropdownlist if you want clear records that are on subsequent pages of data.
  • Print: Displays the Run Report popup with "Report Area" Individuals selected. You can select the report that you wish to run.
  • Total Rows: The total number of records returned by the search,
  • Total Rows per Page: The total number of records in the grid that can be viewed on the page.



Columns Contained in the Search Results Grid

  • Checkbox: Initial column in the grid. Used to select records for Running Reports.
  • Code: Four digit code assigned to the individual. Link to navigate to the Individual Maintenance page.
  • Individual Name: Name of individual
  • Status: Status of the individual
  • Missing: Determines if the individual is missing in the database
  • Prefix: Individual prefix
  • First Name: First name of the individual
  • Last Name: Last name of the individual
  • Job Title: Job title of the individual
  • Institution Name: Name of the individual's institution
  • Institution State: Two digit code assigned to the institution's state.
  • Email: Email of the individual
  • Telephone: Individual primary telephone number
  • Extension: Individual's telephone extension
  • Gender: Gender of individual
  • Declines: # of declines as a potential evaluator
  • Last Trained: Last trained date for the individual
  • Training Event: 
  • Carnegie Classification: Carnegie Classification Type and Sub-Type.
  • Address Line #1: First line of the institution's address
  • State: Two digit code assigned to the institution's state.
  • Postal: Postal code of the institution's address.
  • Country: Name of country in institution's address.
  • Profile Date: Date of the institution's most recent profile.
  • Profile ID: Record number in the tblInstitutionProfile table.
  • ID: Record number in the tblInstitution table.
  • Edit: Link to navigate to the Institution Maintenance page.
  • Delete: Link to delete the institution record. Note: related records of child tables (e.g. tblInstitutionProfile, tblInstitutionAction, tblInstitutionBranch, etc.) will also be deleted as the database design uses "cascading deletes" in most of the tables. The delete will fail if related records exist in certain tables (e.g. tblInvoice, tblMeeting or tblRoster, etc.)
  • View: Link to navigate to the Institution View page.
  • Documents: Link to navigate to the Institution Documents Maintenance page. You can then view all documents uploaded during the Institutional Profile data collection process.
